Pipedrive Integration: CRM-Native Client Workflow

Pipedrive was the first CRM we integrated with, and it's the one where the most work has landed. Pipedrive has grown from a contact-import stub into a full end-to-end workflow: search Persons and optionally link them to Deals on import, match existing clients by email, push collected files back to Pipedrive as attachments, surface clear error messages when something goes wrong, and stay connected without surprise reconnects.

What's New

Contact search and import

An Import from Pipedrive button on the Clients page opens a search modal that queries Pipedrive Persons live. Results display as a card-style list with name and email. After you pick a Person, you can optionally link the new FolioReady client to one of that Person's open Deals before finishing the import.

Existing-client linkage by email

When you import a Pipedrive Person whose email matches an existing FolioReady client, the record is linked rather than duplicated. The client now carries the Pipedrive Person ID and Deal ID, which display on the client detail page as a "Linked To" badge.

Stays connected automatically

Pipedrive connections used to expire on a schedule and nudge you to reconnect. Now FolioReady keeps the connection alive in the background. If access is genuinely revoked — you disconnected the app in Pipedrive, for example — you'll see a clear "Reconnect Pipedrive" prompt instead of a confusing error.

Clear error messages

When Pipedrive rejects an action — a permission issue, a missing required field, a rate limit — the actual reason shows up in FolioReady next to the action you took. No more silent failures or vague "something went wrong" banners.

Files sync back to Pipedrive

When a folio is approved, its collected files sync as attachments to the linked Pipedrive Deal (or Person, if there's no Deal). This lets advisors work out of Pipedrive without losing access to the documents FolioReady collected.

Works inside Pipedrive's Marketplace panel

FolioReady now embeds a Pipedrive-native panel that works from inside Pipedrive itself, and the two systems stay in sync automatically as deals and persons change.

How to Use It

  1. Go to Integrations → Pipedrive
  2. Click Connect and authorise
  3. From Clients, click Import from Pipedrive
  4. Find a Person, optionally pick an open Deal, and import — matched emails link to existing clients
  5. Send a folio request; when complete, files sync back to the linked Pipedrive Deal
  6. See the Pipedrive IDs on each client's detail page

What's Improved

A consistent experience across integrations

The background work that keeps Pipedrive, Dropbox, Intercom, and Salesforce in sync now uses a shared foundation. Fewer quirks per integration, and improvements to one benefit them all.

Field provisioning at design time

CRM field sync now happens at template design time rather than on each folio approval. You pick which FolioReady fields map to which Pipedrive custom fields once, and the mapping runs automatically for every folio built from that template.

One connection per company

Multi-user teams can share a single Pipedrive connection — no need for every teammate to reconnect their own account. The shared connection stays alive on its own.
